We are looking for an Administrative Assistant to join our team, in Bradenton, FL. This position will support the Chief Operating Officer (COO ) and the Operations team, ensuring smooth and efficient daily operations.

Responsibilities:

Be the Backbone of Our Office

  • Keep daily office operations running seamlessly
  • Create a productive, organized, and positive workplace environment
  • Manage vendors, supplies, and office logistics

Support Our COO at a High Level

  • Manage a fast-paced calendar and coordinate meetings
  • Prepare presentations, reports, and communications
  • Handle travel planning and itineraries
  • Serve as a trusted partner and gatekeeper to the COO

Bring Events to Life

  • Plan and execute corporate events, meetings, and team experiences
  • Coordinate logistics including venues, catering, and materials
  • Support major PM-International USA events, conferences, and launches
  • Ensure every event runs smoothly from start to finish

Be a Cross-Team Connector

  • Collaborate with multiple departments across the organization
  • Support internal initiatives and communications
  • Help improve systems, processes, and efficiency

Qualifications:

  • 3–7 years of experience in office management, executive support, or similar role
  • Experience supporting senior leadership (C-suite exposure is a plus)
  • Strong organizational skills with the ability to multitask and prioritize
  • Exceptional communication and professionalism
  • Experience planning events or coordinating logistics
  • High level of discretion and attention to detail
  • Proficiency in Microsoft Office (Excel, PowerPoint, Outlook, Word)
