Overview

The company is seeking a detail‑oriented, adaptable Office Manager / Administrative Assistant to support a high‑activity construction jobsite. This position plays a critical role in the daily flow of administrative operations, onboarding coordination, document control, and financial accuracy.

This is not a customer support position—candidates must have hands-on experience in office administration or office management, preferably in a construction or field‑based environment. The ideal candidate excels in fast-paced settings, brings strong organizational and communication skills, and provides reliable support to both field and corporate teams.

Required Qualifications

  • Bachelor’s degree
  • 3+ years of experience in office administration or office management
  • Strong attention to detail and exceptional organizational skills
  • Demonstrated ability to manage multiple priorities and deadlines
  • High level of professionalism and strong interpersonal/soft skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Excel, Outlook, Word)
  • Ability to work independently while supporting a larger team
  • Reliable and consistent attendance (Monday–Friday)

Nice-to-Have Skills

  • Experience working in the construction industry
  • Familiarity with jobsite workflows, documentation, or compliance processes

Key Responsibilities

Administrative & Office Management

  • Provide comprehensive administrative support for an active construction jobsite
  • Maintain office operations including inventory tracking, supply ordering, shared file management, and label/mail merge tasks

Employee Onboarding & Compliance

  • Coordinate onboarding and offboarding for jobsite personnel
  • Facilitate badging, site access, safety compliance tracking, drug screening documentation, and new-hire orientation logistics
  • Ensure all onboarding paperwork is completed and delivered to HR accurately and on time

Document Control

  • Manage jobsite documentation including scanning, filing, and organizing safety logs, shipping tickets, labor reports, and accounting records
  • Support Project Managers with document control tasks such as RFI logs, submittal tracking, and project administration

Financial & Administrative Processes

  • Perform data entry, maintain Excel tracking tools, and organize credit card statements and receipts
  • Ensure checks and critical documents are routed to the correct jobsite or department

Cross‑Team Coordination

  • Serve as a reliable liaison between field teams, project managers, HR, and corporate offices
  • Maintain smooth communication and workflow across multiple stakeholders
